COMMUNITY PRIVACY POLICY & MEDIA CONSENT

Effective Date: August 2026

This Community Privacy Policy & Media Consent ("Policy") applies to all members, participants, and clients ("you," "Member") who access any community, group program, membership platform, live session, workshop, webinar, or online space operated by ClarityCoachingwithSam LLC, DBA YourCareerCompass ("we," "us," "YourCareerCompass"). This Policy supplements our Consulting & Course Agreement and should be read alongside it.

1. Information We Collect

When you participate in our community or programs, we may collect:

  • Account information you provide at registration (name, email address, professional background)

  • Content you post, share, or submit within community spaces (posts, comments, direct messages, uploaded files)

  • Session activity including attendance, participation, and engagement data

  • Communications you send to us via email, text, or platform messaging

  • Technical data such as IP address, device type, and browser information collected by our hosting platforms

We do not sell your personal information to third parties.

2. How We Use Your Information

We use the information we collect to:

  • Deliver and improve our programs, courses, and community experience

  • Communicate with you about your enrollment, scheduling, and program updates

  • Personalize coaching and resources to your goals

  • Maintain community safety and enforce our community guidelines

  • Comply with legal obligations

3. Recording of Live Sessions

3a. Notice of Recording Live sessions, workshops, office hours, webinars, and community events ("Sessions") may be audio- and/or video-recorded. Recordings may capture on-screen video, your profile name, voice, chat messages, screen shares, and submitted materials. By attending any Session, you acknowledge this practice.

3b. Internal / Community Use Recordings may be used for:

  • Providing session replays to enrolled participants

  • Training, quality assurance, and curriculum improvement

  • Delivery within YourCareerCompass's private community platforms (course portal, member library, private groups)

3c. Content Library Use Recordings, excerpts, transcripts, and derivative materials may be added to our internal Content Library — a curated archive of program materials accessible to current and future enrolled participants. Your participation in any Session constitutes consent to your voice, likeness, and contributions being included in the Content Library.

Content Library materials are not publicly accessible. Access is limited to individuals actively enrolled in a YourCareerCompass program or membership at the time of access.

4. Likeness, Image & Social Media Consent

4a. Grant of License By participating in any live Session, community event, or program, you grant ClarityCoachingwithSam LLC a non-exclusive, royalty-free, worldwide license to use, reproduce, edit, publish, and distribute recordings, photographs, screenshots, audio clips, video clips, and written excerpts that include your name, voice, image, or likeness ("Likeness Materials") for the purposes described in this Policy.

4b. Permitted Uses Your Likeness Materials may be used for:

  • Social media posts and stories on platforms including Instagram, LinkedIn, Facebook, and YouTube

  • Website content including testimonials, case studies, and program descriptions

  • Email newsletters and marketing communications

  • Promotional graphics, reels, highlight clips, and educational content

  • The Content Library (as described in Section 3c)

  • Press, media, and partnership materials

4c. How We Handle Sensitive Information We are committed to protecting your privacy within promotional content. When using Likeness Materials externally:

  • We will avoid sharing sensitive job-search details, employer names, interview status, or salary information without de-identification

  • Where a clip or screenshot clearly identifies you by full face and name in connection with sensitive professional content, we will seek written confirmation before publishing

  • We will not publish content that we reasonably believe would embarrass or harm your professional reputation

4d. Testimonials & Quotes If you provide a written or verbal testimonial or are quoted during a session, we may use that testimonial or quote — attributed or anonymized at our discretion — across our marketing channels. You may request removal of a specific attributed quote by emailing sam@yourcareercompass.com.

4e. Release You release ClarityCoachingwithSam LLC, its officers, employees, and contractors from any claims arising out of the authorized use of Likeness Materials, including claims related to right of publicity, right of privacy, defamation, or copyright in content you voluntarily contributed during a Session.

5. Opt-Out Options

If you prefer not to appear in recordings or promotional content, you may:

  • Keep your camera off and participate using a first name or initials only

  • Refrain from speaking on-mic or using the chat function during recorded Sessions

  • Email sam@yourcareercompass.com before a Session to request reasonable accommodations

Opt-outs apply prospectively. We are not obligated to remove Likeness Materials already published at the time your opt-out request is received, but we will not use new Likeness Materials captured after that date.

6. Member Confidentiality & Community Conduct

Our community is built on trust. Members agree to hold one another's personal stories, job-search details, professional transitions, and business information in strict confidence. Without explicit written permission from the person involved, you may not:

  • Share another member's job-search status, target companies, interview activity, or offer details

  • Post, forward, or republish screenshots of sessions, chats, posts, or private messages

  • Disclose another member's name, employer, manager, or recruiter in any outside forum

  • Share links to private recordings or the Content Library

Breach of member confidentiality may result in suspension or removal from the community without refund. To report a concern, email sam@yourcareercompass.com with "Confidentiality Concern" in the subject line.

7. No Unauthorized Recording by Members

Members may not record, screenshot, screen-capture, or otherwise reproduce any live Session, community event, or Content Library material without express prior written permission from YourCareerCompass. Unauthorized recordings are a material breach of this Policy and the Consulting & Course Agreement.

8. Data Retention

  • Recordings are retained for the duration of the program and for up to 24 months thereafter, or longer where required for legal, compliance, or archival purposes

  • Account and enrollment records are retained for the period required by applicable law

  • Content Library materials may be retained indefinitely for program delivery purposes

  • You may request deletion of your personal data (excluding data required for legal compliance) by emailing sam@yourcareercompass.com

9. Third-Party Platforms

Our programs are hosted across third-party platforms including Circle, Thinkific, Zoom, Squarespace, and others. Your use of those platforms is subject to their respective privacy policies, which are outside our control. We encourage you to review the privacy terms of any platform you use to access our programs.

10. Children's Privacy

Our community and programs are intended for adults (18+) unless a specific program (such as the True North program for high school students) expressly states otherwise. We do not knowingly collect personal information from individuals under 13. If you believe a minor's data has been collected, please contact us immediately.

11. Changes to This Policy

We may update this Policy from time to time. We will notify current members of material changes via email or a community announcement at least 14 days before the changes take effect. Continued participation in the community or programs following the effective date constitutes acceptance of the updated Policy.

By enrolling in any program, joining any community space, or attending any live Session, you acknowledge that you have read, understood, and agree to this Community Privacy Policy & Media Consent.

This Policy supplements the YourCareerCompass Consulting & Course Agreement (Sections 14–16). In the event of conflict between this Policy and that Agreement, the Agreement controls.
